Tracking personal data

We take user privacy very seriously at Extellio. You can always report personal data to our support. Depending on how your data source is set up, Extellio might track confidential, sensitive or personally identifiable information.

Survey answers

If your survey has free-text questions where your users can write their own answers, they might put in personal data.

Extellio has an automatic personal data detection system that flags free text answers that contain personal data. Flagged comments get reviewed by a team member at Extellio and any personal data is masked. If you've chosen to allow personal data the comments won't be flagged by our system and you're responsible to handle them according to your privacy policy.

If you see any personal data in your free text answers, you can easily report it by clicking the three dots next to the comment and then "Report personal data".  Once it's been reviewed and masked you will be able to see it with the rest of your free text answers.

Site searches

If a user searches for personally identifiable information on your website, like their name, e-mail address, or social security number it will show in the lists of keywords.

Heatmaps

Heatmaps might record personal data if it is visible on the page. For example, it could be if they're logged in and their name is displayed.

If there is personal data visible on the page, you need to tag it to mask it from being recorded. You can use the data-matomo-mask to mask elements from being tracked.

You can easily delete the screenshot by clicking "Delete screenshot" beneath the heatmap.

Session recordings

Session recordings might record personal data if it is visible on the page. Like with heatmaps, you need to tag it to mask the personal data from being recorded.

Unless you've chosen to enable keystrokes when setting up the session recording, no keystrokes will be tracked. When enabled, the characters entered will be masked by a star *.

Even if you've manually whitelisted certain fields to be recorded in plain text, some fields will still always be masked by Extellio like credit card information, phone numbers, etc. Read the extensive list of masked fields here.

You can always delete individual session recordings by hovering over them and clicking the trash icon.

Page URLs, Page Titles, and Custom Events

If your website includes personal data (like postcodes, names or addresses) in URLs or as URL parameters these will be shown in Extellio. You can exclude them from being tracked under "Edit data source" in Data sources.  Learn more about excluding pages from being tracked by Extellio.
